We are currently seeking a part-time Front Desk Receptionist position. This position is ideal for someone who is compassionate, dependable, detail-oriented, prioritizes well, values teamwork, and LOVES seniors. Experience in Front Desk Receptionist is a plus, but we are willing to train the right applicant.

Essential Functions

  • Warmly greet residents, families, and visitors with a professional and friendly demeanor.
  • Answer phone calls promptly and direct them to the appropriate personnel.
  • Provide accurate information about facility services and activities.
  • Manage incoming and outgoing mail and packages.
  • Communicate effectively with various departments.
  • Build positive relationships with residents by being attentive and responsive to their needs.
  • Communicate event details and updates to residents as needed.
  • Ensure the reception area is organized and presents a welcoming atmosphere.
  • Handles emergencies immediately and appropriately.
  • Transmit information or documents to customers, using computer, mail, or facsimile machine.
  • Collect, sort and distribute incoming mail (postal & campus) and prepare outgoing mail, UPS, FedEx or courier deliveries.
  • Hear and resolve complaints from customers or the public.
  • Receive and record payments per departmental guidelines.
  • Maintain and keep up to date records of resident status (vacations, hospital stay, etc.) utilizing the designated program for the area of assignment.
  • Perform administrative support tasks, such as filing, preparing correspondence, or operating calculators or computers to work with pay records, invoices, payments, or other documents.
  • Provides designated services for residents as defined for the area which may include check cashing, sale of postage, photocopying, faxes sending/receiving,
  • Maintains cash boxes if area has one or more insuring funds are accounted and balance at the end of the shift.
  • File and maintain records.
  • Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
  • Receive payment and record receipts for services.
  • Analyze data to determine answers to questions from customers or members of the public.
  • Participates in additional duties as assigned by the Supervisor, aligned with qualifications and can be reasonably expected to be completed with minimal orientation.

Skills and Abilities 

Experience: At least one-year clerical experience. High school diploma or equivalent; additional qualifications in office administration are a plus.

Computer Skills: Word processing, spreadsheets, publishing, graphics, email, calendars.
